Licensing Analyst – Chicago, LA, or D.C. Office

*One position located in Chicago, LA, or D.C. office

Under the direction of the Director, the Licensing Analyst is responsible for drafting license applications, reports, renewals, and amendments, tracking project status information, interacting with clients and regulators as needed to obtain and submit relevant information, and handling all aspects of licensing project management. This position is with APPROVED, Buckley LLP’s technology-enabled licensing division.

Essential Duties and Responsibilities:

  • Track informational requests to clients and from state and federal regulators
  • Prepare and compile mortgage lender, mortgage broker, mortgage servicer, mortgage loan originator, and other financial-services related application documentation
  • Organize application documentation
  • Prepare foreign qualifications, periodic reports, renewals, and ongoing compliance filings
  • Prepare correspondence to client, state, and federal regulators
  • Correspond with client, state, and federal regulators
  • Compile filings, scan filings, and send filings to regulators
  • Manage filings and update records within internal licensing database
  • Review and analyze regulatory notifications
  • Participate in team meetings
  • Effective time management skills to meet regulatory deadlines. Other duties as assigned
  • Must be able to work overtime and weekends as needed

Performance Traits:

Technical Skills:  

Must have thorough knowledge of Microsoft Office software (e.g., Word, Excel, PowerPoint, Outlook.  Desired: Experience with Nationwide Multistate Licensing System (NMLS)

Education, Training, and Experience:

A Bachelor’s degree or commensurate experience is required,  Office administrative, legal, compliance, financial services, and/or licensing experience is a plus.

Licensing Manager – Chicago, LA, or D.C. Office

*One position located in Chicago, LA, or D.C. office

Under the direction of the Director, the Licensing Manager is responsible for research and data compilation for regulatory filings and is able to review the Licensing Analyst work product. Additionally, the Licensing Manager will assist with drafting license applications, reports, renewals, and amendments, tracking project status information, updating internal licensing database, interacting with clients and regulators as needed to obtain and submit relevant information. The Licensing Manager will serve as an escalated level of review for licensing analyst work product, provide oversight on major client projects and contribute to the staff training program.

Essential Duties and Responsibilities:

  • Provide senior management with input on staff capacity and staff performance
  • Effectively use Mogy, APPROVED’s licensing technology; propose future enhancements to Mogy in order to bring further value to our client
  • Provide quality control oversight for financial-services related application documentation
  • Provide oversight of foreign qualifications preparation, annual report compilation and ongoing compliance filings, and client and regulator correspondence
  • General project management experience
  • Oversee and manage various client projects
  • Create and deliver various training for staff
  • Provide ideas for templates and resource library for use in APPROVED
  • Ability to prioritize projects and adapt to change

Must have proficiency using PDF software, strong Microsoft Excel, Outlook, Word, Visio, and PowerPoint. Nationwide Multistate Licensing System experience is required. Must have a working knowledge of various project management tools such as Jira, SmartSheet, and Microsoft Project.

Licensing and Regulatory Research Manager – Chicago, Minneapolis, Santa Monica, D.C., or New York Office

*One position located in Chicago, Minneapolis, Santa Monica, D.C., or New York

Under the direction of the Director, the Licensing and Regulatory Research Manager is responsible for managing the licensing practice research and database maintenance program. The staff member will complete legislative research, analysis, and intake all licensing-related requirements for use in firm technology products and by organization personnel. In addition, they will develop processes and procedures to maintain the organization's database and related materials. Their goal is to ensure the Firm technology products and personnel have the most up-to-date licensing requirements available to them.

Essential Duties and Responsibilities:

  • Design policies and procedures to ensure the organization is working with the most relevant information related to licensing requirements and statutes, including those related to various regulatory examination programs
  • Research law by studying laws, statutes, regulations, opinions, including precedents and reasoning, and trends and preparing summaries and structured data for input into data systems
  • Work with technology team to develop requirements and build solutions to keep licensing data and requirements up-to-date and ahead of trends to share with clients
  • Update job knowledge by participating in continuing educational opportunities; reading legal publications; maintaining professional networks
  • Enhance Firm's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  • Complete intake of all licensing requirement updates for use in Firm data systems
  • Draft blog posts on financial services licensing-related topics for APPROVED's online blog
  • Manage various licensing projects as periodically required

Technical Skills:

Familiarity with Smartsheet and data structure basics, Microsoft Office Word and Excel (moderate to advanced level of experience). Desired experience with Microsoft Visio or other process flow software; other legal research system experience.

Senior Level Position Leading Attorney Recruiting Department – D.C. Office

*One position located in the D.C. office 

Along with two subordinates, this position will direct on a day-to-day basis all associate and counsel recruiting and hiring efforts for the Firm, which is headquartered in Washington, DC, and has offices in Chicago, New York, Los Angeles, and San Francisco. In conjunction with the Hiring Partners, Hiring Committee, and Co-Managing Partners, he or she will develop and manage a proactive recruiting strategy. This position will also plan and manage our small summer associate program.  Experience overseeing or implementing diversity and inclusion initiatives and/or professional development programs in a law firm setting is strongly preferred.

Essential Duties and Responsibilities:

  • In collaboration with firm management, including the Hiring Partners and Hiring Committee, create and implement effective strategies and processes for recruiting and hiring talented, diverse associates, counsel, and other non-partner attorneys
  • Serve as point of contact for applicants and search firms; screen applicant resumes and respond as appropriate; negotiate and work with legal search firms and arrange for payment of placement fees and referral bonuses
  • Facilitate diverse candidate pools in support of the firm’s diversity and inclusion goals and Mansfield Rule participation
  • Develop and disseminate timely reports to firm management and Hiring Partners to keep relevant parties up-to-date on hiring progress, diversity metrics, and other pertinent data
  • Prepare offer letters and welcome notices for new hires
  • Manage the law school student recruiting process, including developing strategic outreach and communications with targeted law schools
  • Supervise coordination of summer associate programs and events, and organization of on-campus and in-office interviews
  • Serve as the primary contact for the Firm for law schools, search firms and industry organizations (NALP, etc.)
  • Along with the Human Resources team, oversee onboarding, new attorney orientation and exit procedures and interviews for attorneys
  • Collaborate with other members of the firm’s Attorney Recruiting and Professional Development team on attorney retention initiatives, professional development, and mentoring
  • Perform other duties and responsibilities as assigned

Knowledge, Skills, and Experience:

  • A minimum of 5-7 years of experience serving in attorney recruiting and/or professional development positions in a law firm setting.
  • Experience overseeing and/or handling all aspects of the attorney recruitment process, including identification of needs, strategy development, candidate assessment, offer negotiation, and onboarding and integration.
  • Excellent interpersonal skills and proven ability to work effectively in a team setting.
  • Ability to juggle competing priorities and deadlines and work in a fast-paced environment.
  • Superior presentation, writing, and verbal communication skills.
  • Proven management experience with the ability to retain, develop and motivate exceptional talent development professionals.
  • Outstanding relationship-building skills with the ability to collaborate equally well with senior administrative managers and staff, partners, and associates across the Firm.
  • A four-year college degree is required; a JD or advanced degree is a plus.

Communications Specialist – D.C. Office

*One position located in the D.C. office 

The Communications Specialist is responsible for supporting the firm’s communications and marketing activities across internal and external platforms, including websites, e-marketing, social media, and intranets.

Duties include creating, editing, and formatting public relations and marketing content, managing the firm’s digital platforms, creating and distributing email blasts, drafting press releases and awards nominations, and managing social media accounts. The position, which is within the firm’s Marketing and Business Development department, reports to the Senior Manager of Communications and works closely with the Marketing Technology Manager.

Essential Duties and Responsibilities:

  • Supports firm communications channels, including websites, intranet, thought leadership, e-marketing, social media, presentations, press releases, and award nominations
  • Researches, recommends, and implements processes and updates related to the firm’s websites and social media feeds
  • Assists in maintaining firm’s contact database and list creation, including media list
  • Maintains attorney biographies
  • Tracks and reports on performance of communications programs
  • Supports other marketing projects as necessary
  • Works overtime as needed

Strong writer and editor. Broad conceptual grasp of marketing and communications best practices. Strong initiative and proactive approach to managing projects, often independently. Skills:       

Excellent written and oral communications. Work in website content management systems (Drupal and WordPress) a plus. Able to plan and execute B2Bcampaigns for social media and other digital communication channels (e.g. blogs, podcasts, video). Proficiency in Microsoft Office applications required; familiarity with image/video/audio editing software is helpful.

Job Qualifications and Requirements:

Bachelor’s degree in marketing or related field. Minimum of one year of experience; previous law firm or professional services experience a plus. Must be fully vaccinated for COVID-19 (i.e., at least 2 weeks after last dose) and, if hired, present proof of vaccination by start date.

Legal Secretary – Chicago Office

*One position located in the Chicago office 

The team-oriented Legal Secretary, is responsible for providing high quality and efficient legal secretarial and administrative support for multiple timekeepers, while working in a small office environment. Provides support to assigned timekeepers and others on an overflow basis. Additionally, this position will also provide administrative support for the overall efficient operations of the office.  

Essential Duties and Responsibilities:

  • Type and edit legal and other documents (including correspondence, memoranda, bills, timesheets and project work) from handwritten or typed materials
  • Copy, distribute, send (electronically and/or via mail, courier or express service), file and otherwise handle completed work
  • Proofread work for accuracy of copy, format, grammar, punctuation and syntax
  • Receive, screen and transmit telephone calls, conference calls and messages to/from attorneys, clients and staff
  • Handle incoming and outgoing mail
  • Perform secretarial functions associated with firm administrative tasks, including processing new client/matter requests, client bills, time reports and expense reports
  • Set up and maintain files
  • Coordinate conferences, meetings and appointments
  • Coordinate travel arrangements, securing air and ground transportation and hotel accommodations
  • Provide secretarial assistance to senior administrative personnel, including visiting attorneys, summer associates and attorneys whose secretaries are absent. Enter visitors into the building security system; issue and track visitor security badges
  • Reserve conference rooms and visitor offices noting any special requests including catering, technology, etc.
  • Assist with setup and breakdown of CH conference room meetings
  • Assist with all catering requests for the CH office including planning and ordering weekly lunches for CH employees
  • Assist with maintaining kitchen and office supply inventory
  • Assist the Office Manager with event planning including the summer and holiday parties and other ad hoc events
  • Other duties as assigned
  • Some overtime will be required

Performance Traits:

Must possess strong listening skills and written and oral communication skills; and the ability to quickly solve problems.  Must have strong time management and project planning skills and be able to deal with stress associated with a fast-paced work environment, including handling the demands of multiple timekeepers and multiple tasks on a daily basis.  Must be able to make judgment decisions and handle daily responsibilities with minor supervision and must be able to handle routine responsibilities in the absence of the timekeeper. Must be able to adapt to changing work situations and grasp and apply new ideas.  Must have strong customer service and team orientation and be able to relate and interact with people at all levels in the firm as well as clients and others from outside the firm. 

Skills:

Must possess a working proficiency using Microsoft Outlook, Word, PowerPoint, Excel and PDF software and be adaptable to learning new software. Experience with entering time in Intapp or other law firm timekeeping system preferred.

Job Qualifications and Requirements:

High school diploma equivalent required.  Associate or Bachelor’s degree desirable. 3-5 years of secretarial experience in a law firm or professional services firm. Must be fully vaccinated for COVID-19 (i.e., at least 2 weeks after last dose) and, if hired, present proof of vaccination by start date.
